Microsoft Licensing, Answered.
- How do I know whether my business has the right Microsoft licenses?
- The right licenses depend on what each role actually needs to do its job, the security and compliance obligations that apply to your business, and the terms of your current agreement. A licensing review compares what you are paying for against those factors so you can see where your licensing fits and where it may not. Microsoft frequently changes plan names, included features, and pricing, so it is worth reviewing periodically rather than once.
- Could we be paying for unused licenses?
- It is common for businesses to carry licenses assigned to former employees, inactive accounts, or shared mailboxes, or to keep plans that no longer match what someone does. A review looks for these cases. Low usage alone is not a reason to remove a license — some licenses are required for compliance, retention, or specific features — so each candidate is checked against business needs before any change is recommended.
- Could our subscriptions already include tools we buy separately?
- Possibly. Microsoft 365 plans bundle a number of security, productivity, and compliance capabilities, and it is not uncommon for a business to pay separately for a tool or add-on that overlaps with something already included. A review compares your subscriptions and add-ons to surface potential overlap. Whether a separate tool can be replaced depends on feature parity, integrations, and your team’s requirements, not just on the subscription line item.
- Can we change licenses before renewal?
- It depends on your agreement. Some licenses can be adjusted mid-term, while annual commitments, minimum seat requirements, or billing terms may restrict when changes take effect or when savings become available. A review identifies renewal dates and commitment terms so you know what is possible now and what needs to wait. We do not recommend removing or downgrading licenses solely because usage appears low.
- How does the calculator differ from a licensing review?
- The calculator is a free, browser-based tool. You enter your license quantities and pricing from your invoice, and it estimates your monthly spend and highlights seats that may deserve a closer look. It does not sign in to your account, check actual usage, or review compliance and contract terms — you validate those separately. A licensing review is a guided assessment with Lucky Cat that examines your environment, confirms what the calculator can only flag, and produces prioritized recommendations.
- What information is needed for a review?
- A review typically starts with your Microsoft invoice or billing summary, a list of purchased and assigned licenses, and a sense of how many users you have. From there we discuss roles, security and compliance needs, and renewal timing. We never ask for your password through a contact form, and we do not need tenant administrator access to begin the conversation.
